PDF too large to upload? Check size and quality before sending

Compare balanced PDF compression with lossless optimization, verify the result and learn what to do when the file still exceeds an upload limit.

This guide is available in English and Simplified Chinese.

Check the recipient's requirements first

An upload can fail for reasons other than file size. Check the accepted format, per-file limit, total attachment limit and whether multiple files are allowed. The recipient sets these requirements.

High-resolution photographs and scanned images can take substantial space. Text-heavy or already optimized PDFs may offer little room for further reduction. Page count alone does not predict compression results.

Choose balanced or lossless processing

Sablelane offers balanced compression and lossless optimization. Balanced mode recompresses supported embedded images and may reduce image detail. Lossless mode optimizes file structure without lowering image quality, but may save little space.

Try lossless optimization first when fine text, technical drawings or image details matter. If it is not enough, decide whether the quality tradeoff of balanced mode is acceptable. Neither mode guarantees a compression ratio or a target file size.

Process and inspect the file

Keep the original. Sign in, open PDF compression, upload and select a PDF, then choose a mode. Check the page count and credit estimate before submitting. The current input limit is 20 MB and 100 pages per file; a larger source cannot be uploaded through this tool. Flatten fillable form fields first.

After processing, compare original size, result size and savings. Open both files in the same reader and zoom in on small text, table lines, photographs and any QR codes that need to remain scannable. A smaller file is not enough if the content is no longer readable.

Understand savings and credit costs

For example, a reduction from 12 MB to 8 MB saves 4 MB, or roughly 33%. This is an arithmetic example, not a product benchmark. If the recipient's limit is 5 MB, the result still does not qualify.

The task reserves one credit per input page. Credits are charged only if the file becomes smaller. If it does not, the original is returned and all credits reserved for that task are released. Failed or cancelled tasks also return reserved credits. A smaller result that still exceeds the recipient's limit is not automatically free.

If the result is still too large

Consider exporting again from the source application with image settings suitable for the intended use. If the recipient accepts multiple attachments, extracting required pages or splitting the document may help. Do not remove required content or split a submission that must remain one file.

Repeatedly compressing an optimized result may offer little benefit, while lossy processing can further reduce image quality. Work from the original where possible. Review important signatures, stamps and fine details before sharing.
